- Contractors: Painting professionals who subscribe to PaintCostPro to manage their business operations.
- Homeowners & Clients: Individuals who interact with contractor tools on PaintCostPro, such as booking forms, estimate calculators, color visualizers, and proposals.
- Website Visitors: Individuals who browse PaintCostPro.com without creating an account.
2. Information We Collect
2.1 From Contractors
- Account information: name, email, phone, business name, and business address
- Subscription and billing information (processed by Stripe; we do not store full credit card numbers)
- Business data entered into the Platform: estimates, proposals, templates, contacts, schedules, invoices, and team member information
- Communication records: emails and SMS sent through the Platform
- Usage data: features used, pages visited, actions taken within the Platform
2.2 From Homeowners & Clients
- Contact information: name, email, phone number, and property address
- Project details: service type, property size, color preferences, and uploaded photos
- Scheduling information: preferred dates and times for estimates or appointments
- Communications: records of emails, text messages (SMS), and other correspondence sent through the Platform
2.3 Automatically Collected
- Browser type, device type, operating system, and screen resolution
- IP address (which may indicate approximate geographic location)
- Pages visited, referring URL, time spent on pages, and click patterns
- Cookies and similar tracking technologies (see Section 8)
3. How We Use Your Information
- To operate, maintain, and provide the Platform and its features
- To process transactions and manage subscriptions
- To send transactional communications: appointment confirmations, estimate reminders, proposal notifications, invoice reminders, and project updates via email and SMS

4. Text Messaging (SMS) Policy
PaintCostPro enables contractors to send text messages to their clients through our platform using Twilio as our SMS provider.
4.1 What Messages Are Sent
- Appointment confirmations and reminders
- Estimate and proposal notifications
- Project scheduling updates
- Follow-up messages regarding your project
- Review and feedback requests after completed work
- Invoice and payment reminders
4.2 Consent, Frequency, and Opt-Out
Message frequency varies based on the contractor and your project status. Message and data rates may apply.
You can opt out at any time by replying STOP to any text message. Reply HELP for assistance. After opting out, you will receive one confirmation message and no further texts.
Your phone number will not be shared with third parties for marketing purposes unrelated to the service you requested. We do not sell phone numbers or SMS opt-in data to third parties.
5. How We Collect Consent
- Online Forms: When you submit your phone number through an estimate request, appointment booking, or contact form, a consent disclosure is displayed stating: “By providing your phone number, you agree to receive text messages regarding your project. Message and data rates may apply. Reply STOP to opt out.”
- Verbal Consent: When you provide your phone number during a phone call or in-person consultation with a contractor and agree to receive text updates about your project.
- Keyword Opt-In: By texting START, YES, or SUBSCRIBE to a contractor’s messaging number.
6. Sharing Your Information
We do not sell your personal information. We may share your information with:
- Contractors: When you submit information through a contractor’s form, that contractor receives your contact and project details to provide their services.
- Service Providers: Third-party companies that help us operate the Platform, including:
- Stripe (payment processing)
- Twilio (SMS messaging)
- Resend (email delivery)
- Vercel (hosting and infrastructure)
- Upstash (database services)
- OpenAI (AI-powered features such as color visualization and content generation)
These providers access data only as necessary to perform their services and are bound by their own privacy policies. - Business Transfers: In the event of a merger, acquisition, or sale of all or a portion of our assets, your data may be transferred as part of that transaction. We will notify you via email and/or prominent notice on our website of any change in ownership.
- Legal Requirements: When required by law, court order, subpoena, or governmental regulation, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
7. Data Retention
- Active Accounts: We retain your information for as long as your account is active and as needed to provide services.
- Cancelled Accounts: After cancellation, we retain your data for 30 days to allow for reactivation. After 30 days, data may be permanently deleted.
- Client Data: Contractors may delete client data from their account at any time. Homeowners may request deletion by contacting us.
- Legal Obligations: We may retain certain data for longer periods as required by law (e.g., financial records, tax documentation).
- Communication Records: SMS and email logs may be retained for up to 2 years for compliance and dispute resolution purposes.
8. Cookies and Tracking Technologies
We use cookies and similar technologies for:
- Essential Cookies: Required for Platform functionality (authentication, session management, preferences).
- Analytics Cookies: To understand how visitors use our website and improve the user experience.
- Affiliate Tracking: To track referrals for our affiliate program (via Rewardful).
You can control cookies through your browser settings. Disabling essential cookies may affect Platform functionality.
9. Data Security
We implement reasonable administrative, technical, and physical security measures to protect your personal information, including:

The Platform is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. The Platform is operated in the United States. If you access the Platform from outside the United States, your information may be transferred to, stored, and processed in the United States where data protection laws may differ from those of your jurisdiction. By using the Platform, you consent to this transfer.
